Keywords: How to Use Text Keywords in VipeCloud

Learn how to set up and use keywords to automate responses, capture leads, and streamline your texting.


What Are Keywords?

Keywords are short words or phrases that contacts text to your VipeCloud number to trigger an automatic action or response.

For example:

  • A customer texts “FACIAL” → they receive booking info

  • A customer texts “DEAL” → they receive a special offer

  • A customer texts “INFO” → they receive details about the career opportunity

Keywords allow you to automate communication and instantly respond without manually texting each person.

Here is a Step by Step Guide:

Step 1: Create a Contact List

  1. Click the contact icon on the left side menu

  2. Click Contact Lists

  3. Click the Create button and select empty list

  4. Name your list and click Create Contact List

Step 2: Create a New Keyword

  1. Click the lightning bolt icon on the left side menu

  2. Click Text Keywords under Workflows

  3. Click the Create button

  4. Type in your Keyword

    • Leave "Process If on Entire inbound text matches keyword"

  5. Select Keyword Action - Add to a contact list

  6. Choose your contact list - find the one you just created.

  7. Click Save Keyword Action button

Tip: Keep your keyword short, simple, and easy to spell.

Step 3: Create the Automation

  1. Under Workflows on the left side select Automations

  2. Click Create button

  3. Choose your trigger - Added to a contact list

  4. Choose your contact list - search for the one you created earlier

  5. Click Choose Action button

  6. Select your automation - Send a text message

  7. Choose your text template

  8. Choose your delay sending if you would like

  9. Click Save Automation

Step 4: Test the Keyword

Text the keyword to your VipeCloud number from your phone.

Make sure:

  • The auto-reply sends correctly

  • Any links work

  • The message looks good on mobile

  • The contact is added to the correct list or automation

Step 5: Share Your Keyword

Now you can share your keyword with customers, leads, or consultants.

Example:

“Want my quick skincare guide? Text GLOW to my number and I’ll send it right over!”


Best Practices

Use short, clear keywords.

Avoid complicated spelling.

Make sure your auto-reply gives clear next steps.

Test every keyword before sharing it.

Use different keywords for different campaigns so you can track interest.
