Emails Going to Promotions or Spam + What You Can Do
You may occasionally notice that emails sent through VipeCloud do not appear in the recipient’s Primary inbox, or that the sender display looks slightly different than expected.
This article explains why this happens, why it may have changed, and what you can do to improve inbox placement.
Why This Happens
Inbox providers such as Gmail, Yahoo, and Microsoft Outlook use their own filtering systems to determine:
How the sender name is displayed
Whether an email appears in Primary, Promotions, or Spam
This happens even when your emails are set up correctly with:
The correct From name
The correct reply-to email address
When emails are sent through VipeCloud, they are delivered using a sending domain (for example: vipe.vcmsr.com). Because of this, inbox providers recognize the message as a bulk or system-sent email, rather than a one-to-one personal message.
As a result:
Inbox placement is not guaranteed
Emails may appear in Promotions or occasionally Spam
Sender display and placement are controlled by the recipient’s email provider
This is standard behavior across all email marketing platforms and is not specific to VipeCloud.
Why This May Be Happening Now (Even If It Worked Before)
Email filtering has become much more advanced in recent years.
Providers like Gmail, Yahoo, and Outlook continuously update their systems, which means emails that previously landed in the Primary inbox may now be categorized differently.
This can happen because:
Filtering systems are now more AI-driven
Structured emails (with images, buttons, or consistent formatting) are more likely to be categorized as Promotions
Recipient engagement (opens, replies, clicks) influences future delivery
New sender requirements have made filtering more strict
Even if nothing has changed on your end, the inbox system itself has evolved.
Promotions vs Spam (Quick Clarification)
It’s important to know the difference:
Promotions tab → The email is delivered normally, just categorized separately
Spam folder → The email is flagged as potentially unwanted
Most VipeCloud emails that don’t land in Primary are going to Promotions, not Spam, which is expected for this type of email.
Improve Inbox Placement (Highly Effective Steps)
The most effective way to improve delivery is by training the recipient’s inbox.
You can ask your customers or consultants to:
Move your email from Promotions → Primary
Click “Yes” when asked to apply this to future emails
Add your email address to their contacts
Reply to your email (even a quick “Got it!” helps)
Open and click your emails regularly
These simple actions send strong signals to inbox providers that your emails are important.
Simple Message You Can Send
You can make this easy by sending a quick text after your email goes out:
Option 1: Warm + Friendly
Hey friend! I just sent you an email I think you’ll love 💕
If it shows up in Promotions, you can drag it to your Primary inbox so you don’t miss future updates!
Option 2: Short + Direct
Hi! 💕 I just sent you an email.
If you don’t see it, check Promotions and move it to Primary—that helps future emails go to your inbox!
Important Technical Context
When emails are sent through a platform like VipeCloud:
They are recognized as bulk or system-sent messages
Inbox providers apply bulk-sender filtering rules
Personal email behavior (like sending directly from Gmail) cannot be fully replicated
Because of this:
Inbox providers ultimately control delivery and placement
There is no way to force emails into the Primary inbox
Best Long-Term Solution: Use a Custom Sending Domain
The most reliable way to improve inbox placement and sender consistency is to use your own custom sending domain.
Instead of sending from:
vipe.vcmsr.com
Emails would send from something like:
mail.yourdomain.com
Benefits of a Custom Sending Domain
Using your own domain provides three major advantages:
Builds sender reputation specifically for your business
Passes SPF and DKIM authentication cleanly
Prevents inbox providers from viewing your emails as shared bulk software
This significantly improves sender trust and long-term deliverability.
Cost and Requirements
Purchasing a domain typically costs approximately $20 per year.
You do not need to purchase a mailbox unless you want one. The domain itself allows your emails to be authenticated and trusted more consistently.
For example:
pinksuccess.net
In this example, pinksuccess.net is the domain.
Summary
Inbox placement is controlled by the recipient’s email provider and can change over time as filtering systems evolve.
To improve delivery:
Encourage recipients to move emails to Primary and engage with them
Maintain consistent communication with your audience
Consider using a custom sending domain for long-term stability
With a few simple steps, you can significantly improve how consistently your emails are seen.
